Your enquiries

When you submit an enquiry, we collect the contact information, site details and message you choose to provide. We use these to respond to you, assess your requirements and organise any agreed quote, service or order.

Where your request goes

Service, installation, feedback and career enquiries are stored in Active Cool’s Pro Scale Field operations inbox. Equipment cart requests, quotes and order updates are stored in our equipment workspace. The website and its data services are hosted using Vercel and Supabase. Authorised team members can review your request to help you.

Equipment payments and delivery

Secure card payments are handled by Stripe. We do not collect card numbers through our forms or chat. Paid invoices are recorded in Pro Scale Field. Contact and delivery information is shared with the services needed to process your order, send transactional emails and deliver your goods.

AI equipment assistant

Questions you send to the AI assistant, recent conversation messages the product codes and quantities in your cart, and order progress when you use your private order link are processed through Vercel AI Gateway and its selected AI provider to answer you. Avoid sharing sensitive information, payment details or passwords. The assistant can make mistakes; our team can confirm product suitability and anything uncertain.

Feedback and marketing

Submitting feedback does not publish it. We will ask for permission before using your message as a testimonial. An enquiry does not sign you up for marketing.

Your cart

The equipment cart saves product codes and quantities in your browser so your cart can be restored on your next visit. Private access uses a session cookie. Keep any secure request-tracking link private, as it gives access to that request.

Questions or corrections

Contact admin@activecool.com.au to ask about your information, request a correction or discuss deletion. Please include your enquiry reference if available.
